aspx ADMINISTRATIVE ASSISTANT - PURPOSE OF CLASSIFICATION The purpose of this classification is to provide administrative and clerical support to Code Board hearings, Business License Review Board hearings; coordinate open record requests and tracking complaints in Community Development Department.
Work involves; preparing reports, correspondence, and other materials for board hearings; entering and retrieving information from department databases; maintaining accuracy of data collected; and assisting callers, customers, the general public, and/or visitors.
Work is performed under the general supervision of the division manager.
ESSENTIAL FUNCTIONS The following duties are normal for this position.

Coordinates and processes all documentation needed to prepare for Code Board Hearings.
Coordinates and processes all documentation needed to prepare for Business License Review Board Hearings.
Perform the duties of Clerk for Code Board Hearings and License Review Board Hearings and prepare Hearing minutes for both Boards.
Assist Code Enforcement Officers with Code hearing package preparation and back up research support.
Assist Business license Inspectors with inputting complaints, making phone calls, and general support of code enforcements activities.
Tracks all complaints received by phone, email and County's complaint system GovQA.
Coordinates Open Records Requests, inquiries, and complaints.
Prepares department documents, records, reports and forms requiring knowledge of programs, policies, ordinances, county codes and procedures.
Researches, compiles, consolidates, and/or tabulates information; incorporates information into requested reports and other prepared materials; proofreads for accuracy and completeness; and distributes upon approval.
Tracks department citation revenue; preparing reports, correspondence, and establishing and maintaining department records, databases, automated files and reports for Management.
Answers department telephones; provides assistance for requested documents and information; refers callers to other staff members as appropriate; and takes messages.
Enters information into department/office software program EnerGov, updates information; creates new spreadsheets/files; and purges old data as appropriate.
Researches information from databases and incorporated into reports, summaries and other assignments; Reviews, verifies and/or processes incoming documents and forwards or disburses as appropriate.
ADDITIONAL FUNCTIONS Performs miscellaneous tasks; Supports other departmental administrative tasks; Performs other related duties as required.
MINIMUM QUALIFICATIONS High school diploma or GED; supplemented by three (3) years in an office environment:

Tasks require the ability to exert very moderate physical effort in light work, typically involving some combination of stooping, kneeling, crouching and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).

Some tasks require the ability to perceive and discriminate colors or shades of colors, sounds, depth, and visual cues or signals.
